Documents
The Documents tab connects your JUS. Document Management (DMS) archive to Word. You can browse your folders, pull the latest version of a document into Word to edit it, and save it back with versioning.
This tab is only visible on accounts where the Document Management (DMS) module is active.
Sub-tabs: List, Templates, Upload — plus Detail when a document is open.
List — Opening a document
1. Go to Documents → List.
2. Browse the folder tree or search for a document using the search box. You can narrow the list with the Category and Status filters.
3. Click the document you want to open.
4. The Document Edit Confirmation dialog shows the document name and number.
When you open a document, the existing content in the Word document is deleted and the latest version of the document is loaded. Save any unsaved work before continuing.
5. Click Continue. The document is transferred into Word and the add-in switches to the Detail view.
Detail and versioning
The Detail view shows the document's information in JUS. (document number, type, folder, version). There are two save options on the bar at the bottom of the screen:
- Save (v…) — overwrites the current version with your changes.
- Save with Version — creates a new version.
In the Save with Version dialog:
1. Select Version Type: Base, Minor or Major.
2. Describe the changes you made in this version in the description field.
3. Click Save.
The version history can also be followed from the document card in the JUS. web interface.
Templates
1. Go to Documents → Templates.
2. Find the template using the Search templates... box or the Document Type filter.
3. Click the template — its content is inserted into the Word document.
Upload — Saving a Word document as a document
1. Open the document you want to save in Word.
2. Go to Documents → Upload. The document name appears in the Document open in Word field.
3. Fill in the form:
- Document Name (required)
- Document Type (required)
- Folder (required) — the folder the document will be saved into
- Document Code — for example:
D-123 - Description — optional
4. Click Save Document to JUS.
Once saved, the document appears in the list and you can continue working on it with versioning.
