Contracts

The Contracts tab brings your JUS. contract archive into Word. You can open and edit an existing contract, build a new one from ready-made templates and clauses, and save a document you wrote in Word to JUS. as a contract.

This tab is only visible on accounts where the Contract Management module is active.

Sub-tabs: List, Templates, Clauses, Upload.

List — Opening and editing a contract

1. Go to Contracts → List.

2. Search using the Search contracts... box, or narrow the list with the Category, Type and Status filters.

3. Click the row of the contract you want to open.

4. The confirmation dialog shows the contract's name and number.

Caution

When you open a contract, all existing content in the Word document is deleted and the latest version of the selected contract is loaded. If you have unsaved work, save it first.

5. Click Continue. The latest version of the contract is transferred into Word and the add-in switches to edit mode.

6. In edit mode the sub-tabs change to Edit, Templates, Clauses, and a save bar appears at the bottom of the screen.

Saving and versioning

In edit mode there are two buttons on the bar at the bottom:

  • Save (v…) — overwrites the current version with your changes. The version number you are working on is shown on the button.
  • Save with Version — creates a new version.

When you choose Save with Version, in the dialog that opens:

1. Select one of the options under Select Version Type:

  • Base — minor corrections, typographical changes
  • Minor — content change, clause update
  • Major — comprehensive revision, new contract release

2. Describe the changes you made in this version in the description field.

3. Click Save. The new version is created in JUS. and added to the version history.

Templates

To build a new document from ready-made contract templates:

1. Go to Contracts → Templates.

2. Find the template using the Search templates... box or the Category / Contract Type filters.

3. Click the template — its content is inserted at the cursor position in the Word document.

Clauses

The clause library holds the ready-made contract clauses you use most often.

1. Go to Contracts → Clauses.

2. Search using the Search clauses... box or narrow down with the Category filter.

3. Click the clause you want to add — the clause text is inserted into the document.

Upload — Saving a Word document as a contract

To save a contract you wrote from scratch in Word, or one received from an external party, to JUS.:

1. Open the document in Word.

2. Go to Contracts → Upload. The save form opens automatically and the document name appears in the Document open in Word field.

3. Fill in the Contract Information section:

  • Contract name (required)
  • Contract type (required) — if it is not in the list, you can add it by typing into the New type name field
  • Code — generated automatically from the type selection if left blank
  • Category, Language, Date — optional
  • Description — optional

4. In the Party Information section, add the contract parties: search for or type the party name, then select the party type.

5. Click Save. The document is saved to JUS. as a contract and appears in the list.
