Collection

In the Collection section, you must select which personal data is collected, the purpose of data collection, the data acquisition source, the data acquisition method, and the process recurrence frequency.

a. Selecting/Adding Personal Data

To add personal data to the process where the personal data processing activity takes place:

  • After filtering personal data by category from the "Personal Data Category" section, you can select the data you want to add from the list in the "Personal Data" section.
  • If the personal data you want to add is not in the list, you can define the personal data you want to add by clicking the "+" button. If data belonging to multiple person groups (data subjects) is processed in the process, the data added in this section is automatically added to the data subjects you added in the "Process Inventory Information". After completing the personal data selection/addition, you can customize the data processed for each data subject by clicking the "Select Detailed" button.

b. Collection Purpose

You can select the collection purposes of the processed personal data from the list in the "Collection Purpose" section. If the collection purpose you want to add is not in the opened list, you can add a new purpose by clicking the "+" button.

The purposes added in this section are automatically added to the data subjects and personal data you added in the "Process Inventory Information". You can customize on a "person group" and "data/data category" basis by clicking the "Select Detailed" button.

c. Data Acquisition Source

You can select the acquisition sources of the processed personal data from this section. If the data acquisition source is not in the list, you can create a new data acquisition source by clicking the "+" button.

The sources added in this section are automatically added to the data subjects and personal data you added in the "Process Inventory Information". You can customize the acquisition source for each "person group" and "data/data category" by clicking the "Select Detailed" button.

d. Data Acquisition Method

You can select the methods by which the processed personal data is obtained from the "Data Acquisition Method" section. If the method you want to add is not in the opened list, you can add a new data acquisition method by clicking the "+" button.

The methods added in this section are automatically added to the data subjects and personal data you added in the "Process Inventory Information". You can customize the acquisition method for each "person group" and "data/data category" by clicking the "Select Detailed" button.

e. Process Recurrence Frequency

From this section, you can select the recurrence frequency of the process where the personal data processing activity takes place, or add a process recurrence frequency by clicking the "+" button.

Storage

a. Stored Personal Data and Retention Period If there is a situation requiring storage of the collected personal data, you can use this section to determine how long the processed personal data is stored.

The system automatically retrieves the personal data you have defined and allows you to select them. Here, you need to select which personal data will be stored and then click the "Select and Detail Retention Period" button. On the screen that appears, fill in the "Time Type" and "Retention Period" fields and click the "Assign to All" button.

The system will assign the retention period you have defined to all personal data. If the retention periods of personal data differ from each other, you can customize this for each personal data item.

b. Storage Environments To record the environments in which the stored personal data is kept, you need to make asset selections. From this section, you can:

  • Select which "Asset", "Digital Asset", or "Physical Asset" the personal data is stored in,
  • Add a new asset,
  • Customize the storage environment for each "person group" and "data/data category" by clicking the "Select Detailed" button.

c. Accessing Department/Personnel

You can determine which Department/Personnel has access to the personal data processed within the scope of the process from the "Accessing Department" and "Accessing Personnel" headings.
